Do Not Send Sensitive Information via Public Forms

Please do not submit Controlled Unclassified Information (CUI), TSA Sensitive Security Information (SSI), classified, or export‑controlled data through:

  • Website contact forms or intake forms

  • Unencrypted email attachments

  • Public file‑sharing links

We will provide a secure transfer method for any sensitive exchange.

What Counts as CUI or SSI?

CUI is non‑classified information that requires safeguarding under federal law, regulation, or government‑wide policy (e.g., security procedures, facility layouts, internal systems diagrams, personally identifiable information when protected by law).
SSI is certain aviation security information protected under TSA rules (e.g., screening procedures, detailed airport security plans, vulnerabilities).

When in doubt, treat it as sensitive and contact us before sending.

How to Transmit Securely

Email info@eemssolutions.com with the subject “Request Secure Transfer”. We will respond with one or more approved options, such as:

  • Managed secure portal or SFTP for file exchange

  • End‑to‑end encrypted email or encrypted archive with out‑of‑band key exchange

  • Agency‑provided systems (e.g., approved secure portals), when required by contract

We will follow your agency’s security instructions and contractual requirements.

Before You Send

  • Limit data to the minimum necessary.

  • Mark documents per your agency’s guidance (e.g., “CUI” with applicable banner/portion markings, or “SSI”).

  • Share keys/passwords via a different channel (e.g., phone or separate email).

  • Confirm recipients and distribution lists.

Handling & Retention

EEMS handles sensitive information in line with applicable laws, contract clauses, and client security policies. We retain data only as long as needed for the engagement or as required by law. See our Data Retention & Deletion (Summary) for general practices and contact us for engagement‑specific terms.

Incident Reporting

If you believe sensitive information was sent in error or may have been exposed, contact us immediately at info@eemssolutions.com with the subject “Security Incident.” Include a brief description and a phone number for rapid follow‑up.
